These Terms & Conditions govern your access to and use of SchoolVillage ("we", "us", "our"), the platform operated for guardians, carers, verified school staff and activity organisation leaders to communicate about every part of a child's life — school, clubs, scouts, sports, dance, drama and more. By creating an account or using the service, you agree to these terms.
1. About the service
SchoolVillage is a private, guardian-led communication and coordination platform for the communities that make up a child's village. It brings together school classrooms and activity groups — clubs, Scouts, sports teams, dance and drama schools, and other organised activities — in one calmer, more secure space, replacing noisy group chats and keeping children's personal information protected at every step. The service is available through the web and, where published, native mobile apps.
2. Your account
You must be at least 18 years old to create an account. You are responsible for keeping your login credentials secure and for all activity under your account. You agree to provide accurate information during onboarding and to keep it up to date. Children must not create accounts or use the service directly.
3. Subscriptions & payments
SchoolVillage offers the following plans:
- Free Guardian — view the classrooms and groups you belong to.
- Premium Guardian — £2.99 per month or £26.91 per year, enabling posting, party notices and calendar sync.
- Verified School Staff — per school, per year, by classroom count: Starter (1–3 classrooms) £350, Standard (4–10) £550, Large (11–20) £850, Secondary / All-through (21+) £1,200. Enables official announcements and moderation across linked classrooms.
- Organisation plans — for activity providers (clubs, Scouts, sports, dance, drama and other groups). Volunteer / not-for-profit £50 per year. Commercial, by member count: Small (under 50) £120, Medium (50–200) £350, Large (200–500) £750, National / multi-site £1,500 per year. Enables group management, attendance, messaging and moderation.
- MAT / Trust — £750 per school, per year, minimum 3 schools, covering the schools within a multi-academy trust or multi-site organisation.
Where an organisation's stated size is later found to be inaccurate, we may move it to the correct tier with notice before the next charge. A limited early-adopter offer gives 50% off the first year on all business tiers — school, volunteer, commercial and MAT/Trust alike. Subscriptions are billed through our payment provider, Stripe. You authorise recurring charges until you cancel. You can cancel at any time; access continues until the end of the current billing period. Refunds are handled at our discretion in line with UK consumer law. Prices may change with reasonable notice; existing subscriptions are unaffected until renewal.
4. Communities, organisations & invites
SchoolVillage is organised into communities. A classroom is a school-based community; a group is an activity-based community linked to an organisation such as a club, Scout unit, sports team, dance or drama school. Classrooms and groups are created by guardians, verified school staff or verified organisation leaders and are joined by invite code. You must only join communities for groups or classes you genuinely belong to. Do not share invite codes publicly or with people outside that community.
Schools are added and verified by us from official UK datasets. Activity organisations are registered by their leader and verified by us before they can publish a public listing or lead a group. If your school or organisation isn't listed, you can request to add it.
5. Organisation leaders & verification
A leader registering an activity organisation (whether volunteer-run, such as a Scout unit or community club, or commercial, such as a dance or sports provider) must provide accurate details about the organisation and their authority to represent it. We verify organisations before approving them, and may request evidence of the leader's role and the organisation's safeguarding arrangements. Leaders act on behalf of their organisation: they can manage groups, post official messages, record attendance, and moderate posts within their groups. We may remove an organisation's listing or a leader's access where verification cannot be maintained or where these terms are breached.
6. School staff verification
Staff claiming a school must verify a work email on the school's registered domain, and the school itself must first be verified and approved by us before any staff claim is granted. Where a school has not yet been verified, we will log a verification request and may contact you to complete it. We may remove staff access where verification cannot be maintained. Verified staff act on behalf of their school and can remove posts in classrooms linked to their school.
7. Posting & content
You retain ownership of content you post (notices, party notices, replies and messages) but grant us a licence to host and display it within the relevant community. You must not post content that is unlawful, harmful, defamatory, or that breaches anyone's privacy — particularly a child's. See our Acceptable Use Policy for full detail.
8. Child aliases & privacy
To protect children, the platform uses child aliases — a first name and last initial only — across both classrooms and activity groups. You must never add or share a child's full name, date of birth, photo, address, school or meeting location, or other identifying details. Our Privacy Policy and Child Safeguarding Measures describe how we handle this data.
9. Indemnification
You agree to indemnify and hold harmless SchoolVillage, its officers, employees, agents and affiliates from and against any and all claims, losses, damages, liabilities, costs (including reasonable legal fees) and expenses arising out of or in connection with:
- (a) your breach of these Terms or our Acceptable Use Policy;
- (b) any content you post or any activity you carry out on or through the platform;
- (c) your infringement of any third party's rights, including intellectual property, confidentiality or privacy rights;
- (d) any claim that a child's personal information was exposed as a result of your conduct (for example, by posting identifying details or sharing an invite code outside a community); and
- (e) if you are an organisation leader or verified school staff member, the operation of your group, organisation or school on the platform, including any claim brought by a member of your community.
This indemnity does not apply to the extent that a claim arises from our negligence, fraud or wilful default. You will not settle any claim in a way that imposes liability on us without our prior written consent. SchoolVillage is a communication tool and is not a party to activities organised off-platform (such as parties, matches, classes or trips); responsibility for those activities rests with the organising adult.
10. Liability
The service is provided on an "as is" basis. We do not guarantee uninterrupted availability or that information posted by other users is accurate. To the extent permitted by law, we are not liable for indirect or consequential losses arising from your use of the service or content posted by others. Nothing in these terms limits liability for death or personal injury caused by our negligence, or any liability that cannot be excluded under UK law.
11. Termination
You may delete your account at any time. When you do, your profile, child aliases, co-guardian links, direct messages, join requests, attendance records and notifications are removed, and your posts, replies and party notices are anonymised rather than deleted, so that community conversations remain understandable. Child safeguarding records are retained, as set out in our Privacy Policy. We may suspend or terminate accounts that breach these terms, our Acceptable Use Policy, or applicable law. Verified staff or organisation leader access may be suspended if verification lapses.
12. Changes to these terms
We may update these terms and will publish the revised version with a new "Last updated" date. Continued use after changes constitutes acceptance.
13. Governing law
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
